How it is calculated

How the receipt works

Fill in the fields and the preview shows the document live. “Download PDF” or “Download Word file” saves it on your device. If you enter the tax rate that is included in the price, the tool works out the tax portion of the gross amount: gross × rate ÷ (100 + rate), rounded to the cent. Example: 119.00 gross at 19% contains 19.00 of tax.

What a receipt should show

Background

A receipt proves that money changed hands; it is not an invoice. If you need to show VAT or sales tax or allow the buyer to reclaim it, the rules for invoices apply instead, and the invoice generator is the better starting point. For overdue payments see the payment reminder letter, for handing over goods the delivery note template.

Limits

The tool produces sample text, not legal or tax advice. Rules on record keeping and tax differ by country and situation, so ask the competent authority if you are unsure.

Frequently asked questions

How do I fill in a receipt correctly?

Enter the amount, currency, payer, recipient and the purpose of the payment, add date and place, and have the person who received the money sign it.

Is a receipt the same as an invoice?

No. A receipt confirms that a payment was received. An invoice asks for payment or accounts for a supply and has its own required details in most countries.

Can I get the receipt as a Word file?

Yes. Besides the PDF you can download a Word file (DOCX) and keep editing it. Both files are created locally in your browser.

Is my receipt stored anywhere?

No. There is no upload and no account. Only if you tick “Remember my entries in this browser” are the entries kept locally until you delete them.

Can I switch off the small footer?

Yes. The “toolboxday.com” line at the bottom of the page can be turned off under “Design and output”.
