How it is calculated

How the quotation template works

Enter your details, the customer and the line items. Each line is quantity × unit price, rounded to the cent; tax is calculated with one rate on the subtotal and also rounded to the cent. Example: 8 hours × 90.00 plus one flat fee of 640.00 give a subtotal of 1,360.00; at 20% tax adds 272.00 for a total of 1,632.00. The validity date is the quote date plus the number of days you enter.

What a quotation should contain

Background

A quote is a proposal, not an invoice. Whether it binds you depends on the law that applies to your contract and on what you write in it, so say clearly how long the price holds. Once the work is done, create the invoice with the invoice generator, confirm payment with a receipt and accompany the shipment with a delivery note.

Limits

The tool produces a sample text, not legal advice. Check prices, tax notes and terms before you send the quote.

Frequently asked questions

How do I create a quotation?

Enter your details, the customer and each item with quantity and price, choose the tax rate and the validity in days, then download the quotation as PDF or Word.

How long should a quotation be valid?

That is up to you; 14 or 30 days are common. Write the date clearly so the customer knows until when the price holds.

What is the difference between a quotation and an invoice?

A quotation describes what you would deliver and at what price. An invoice asks for payment after the work and has its own required details.

Can I get the quotation as a Word file?

Yes. Besides the PDF you can download a Word file (DOCX) and keep editing it in Word.

Is my data stored?

No. There is no upload and no account. Only if you tick “Remember my entries in this browser” are your entries kept locally in your browser.
